Privacy Policy

This policy covers the Formula Cheer app — the one you sign in to for schedules, attendance, team messages, documents and billing — on the web and on your phone. It is written in plain language on purpose. If anything here does not match what you see in the app, tell us and we will fix the practice or fix the page.

The short version

  • We collect what a cheer gym needs to run practices safely and bill correctly, and nothing beyond that.
  • We do not sell your information, and we do not share it for advertising.
  • The app has no advertising, no ad tracking and no analytics trackers. It does not track you across other apps or websites.
  • Children do not have accounts. The account belongs to you, the parent or guardian, or to a coach.
  • Other families cannot see your child’s date of birth, medical notes, contact details or your balance.
  • You can delete your account yourself, inside the app, at any time.

Who is responsible for your information

What we collect

About you, the parent, guardian or coach: your name, email address and phone number, and your home address if you give it to us. You can add a profile photo; you do not have to.

About your athlete: their name, date of birth, gender, skill level and cheer positions; the emergency contact you give us (name, phone number and their relationship to your child); and, because a coach may need it on the floor in a hurry, allergies and any medical notes you choose to share. You can add a photo of your athlete; you do not have to.

About taking part: which teams and classes your athlete is enrolled in, attendance for each practice (including a coach’s note on an absence), absences you report, messages you send in team channels and to the gym, and documents you sign through the app such as the liability waiver and the photo and video release. A signature records who signed, for which athlete, the date and time, and the version of the document.

Photos and video: team photos and video that staff post in the app, which the photo release you sign governs. If you do not sign it, or you withdraw it, tell the gym in writing and the gym will honor that going forward.

About money: tuition and fees charged, payments, credits, discounts and refunds. Card payments are processed by Stripe. Your card number goes straight to Stripe; the app never sees or stores the full number — only the last four digits and the card brand, so you can tell your cards apart.

Technical records: when a staff member changes a family, athlete or payment record, the app logs who made the change, when, what changed, and the IP address and browser it came from, so we can answer “who changed this?” about your child’s information or your bill. Sign-ins are logged the same way. If you turn on notifications, the app keeps the address your phone or browser gave it for delivering them. The app also receives automatic error reports when something breaks.

Why we collect it

To run practices safely (who is on the floor, who to call, what a coach must know), to bill correctly, to keep you informed (schedule changes, closures, messages, documents to sign), and to keep an accountable record of changes to your family’s information and your bill. Nothing is collected to build a profile of you or to advertise to you.

Who can see what

  • You see your own family: your athletes, your schedule, your attendance, your documents and your balance.
  • Gym staff — coaches, admins and the owner — see the athletes and families at Formula Cheer, as needed to run practices and the gym’s books. A coach sees the athletes on their own classes and teams.
  • Other families see very little: a teammate’s first and last name, their positions and whether they are a captain. They do not see dates of birth, contact details, medical information, attendance or money.
  • Nobody outside the gym sees your family’s information, except the companies below that run the app on the gym’s instructions.

Companies that handle information for us

They process information on the gym’s instructions and are not permitted to use it for their own purposes.

  • Stripe processes card payments and holds your card details. Stripe’s own privacy policy applies to what it holds.
  • Supabase stores the database and uploaded files.
  • Vercel hosts and serves the app.
  • Resend sends the emails the app sends you.
  • Sentry receives automatic error reports when something breaks.
  • Apple and Google deliver notifications to your phone if you turn them on.

We do not sell your information and we do not share it with advertisers. We will only hand information to anyone else if the law requires it, or if it is genuinely needed to protect a child’s safety.

Children

Almost everyone we hold information about is a child, so this matters more here than on most apps.

  • Children do not have accounts and cannot sign in. There is no login, no profile and no messaging for athletes, and no account for anyone under 13. Every account belongs to an adult.
  • We collect a child’s information from their parent or guardian, never from the child, and only what the gym needs to coach them safely and bill you correctly.
  • A child’s date of birth, medical notes, allergies and emergency contacts are visible to gym staff only, never to other families.

Payments

Card payments are processed by Stripe. Your card details go directly to Stripe and are never stored on Formula Cheer’s systems; the gym only ever sees the last four digits and the card brand. We keep a record of what was charged, paid, credited or refunded, because we have to.

How long we keep it

We keep your family’s records while your athlete is with us, and for a period afterwards: payment and attendance history because the gym needs it for its accounts and tax records, and signed waivers because they are safety records. We do not keep things simply because we can.

When you delete your account (below), your own details are removed right away. The gym’s business records stay, with your name replaced by “Deleted Account”.

Deleting your account

You can delete your account yourself, inside the app: Settings → You → Delete my account (on the My details screen). The app asks you to confirm, then to type DELETE, because it cannot be undone.

What is deleted: your login, your name, email address, phone number, profile photo and app preferences; your notification and calendar settings; and your memberships of your family, your teams’ channels and the gym.

What stays: your athletes and their records, because the gym still coaches them; the gym’s payment, attendance, message and signed-document records, which show “Deleted Account” instead of your name; and the log of changes, which is a safety record.

If you are the only admin at a gym, the app asks you to hand ownership to another admin first. If you would rather the gym does it for you, or you want a copy of your family’s information first, email Formulacheerinfo@gmail.com.

Your choices

  • See it or correct it. Most of your family’s details can be edited in the app. Ask us for anything you cannot see.
  • Get a copy. Email us and we will send you what we hold about your family.
  • Delete it. Use the button in the app, or ask us.
  • Medical notes are optional. You choose what to share. Sharing less means coaches know less in an emergency, which is a real trade-off, but it is your call.
  • Photos and video. Governed by the release you sign; withdraw it in writing at any time.
  • Notifications. Turn them off any time, in the app or in your phone’s settings.

Keeping it safe

Access is restricted by role, so a signed-in parent can only reach their own family’s records and staff can only reach the gym they work at. These rules are enforced by the database itself, not only by the screens. Information is encrypted in transit. No system is perfect; if something goes wrong that affects your family, we will tell you rather than hope you do not notice.

No tracking

The app does not use advertising identifiers, does not track you across other companies’ apps or websites, and does not share your information with data brokers. The only records it keeps about how you use it are the ones described under Technical records above.

Changes to this policy

If we change this page in a way that affects what we collect or who can see it, we will update the date at the top and tell families in the app. See also our Terms of Use.
